Planned Absence

At Clallam Bay School, we believe that every day of learning is valuable. However, we understand that family milestones, unique travel opportunities, and personal commitments occasionally require a student to be away from the classroom.

To ensure that your student stays on track academically during a Planned Absence, we have established a clear procedure to keep teachers, students, and the office in sync.


The Planned Absence Procedure

If you know your student will be missing school for two or more days for a non-emergency reason, please follow these steps at least one week (or a minimum of 3 days) before the absence begins:

  1. Pick Up a Form: Have your student collect a Pre-Arranged Absence Form from the front office.

  2. Teacher Signatures: The student must take this form to each of their teachers. This allows teachers to note the upcoming absence and provide any assignments, reading, or projects that will be missed.

  3. Parent Signature: Once the teachers have signed and noted the work required, a parent or guardian must sign the form.

  4. Office Turn-In: The completed form is returned to the front office for final approval by the Principal.


Academic Expectations

A planned absence is not a "day off" from learning. To maintain progress:

  • Work Completion: Students are expected to complete all assigned work provided by their teachers.

  • Due Dates: Unless otherwise arranged with the teacher, all "missed" work is generally due the day the student returns to class.

  • Tests/Labs: Some classroom experiences (like science labs or group presentations) cannot be replicated at home. In these cases, teachers may assign an alternative project or schedule a make-up time upon the student's return.

Is the Absence "Excused"?

Under Washington State law and district policy, an absence is typically considered excused if it has been pre-approved by the principal and the student’s academic standing is not at risk. If a student is already struggling with attendance or grades, the school may request a meeting to discuss how the absence might impact their progress.

Pro-Tip: For the most accurate attendance record, always call the attendance line at 360-963-2324 to report any absence, whether planned or unexpected!
